DABO AI Administration Guide

Every tab and button of the DABO admin panel (http://127.0.0.1:3003) explained with numbered screenshots — plus what staff see in webchat.

Sign-in & admin panel layout

  1. On the DABO server, open a browser and go to http://127.0.0.1:3003. (For safety the admin panel is not exposed to the LAN. On Linux servers IT can use an SSH tunnel — see the installation guide.)
  2. Enter the Sign-in email (1) and Password (2) of an Administrator account and the Admin code (3) — open the file admin-panel-secret.txt on the server to get it. Click Log in (4).
Admin panel sign-in screen
Figure 1 — Admin panel sign-in screen
  • After several wrong attempts, sign-in is locked for 15 minutes (DABO shows how many seconds to wait). Every sign-in — successful or not — is recorded in the System log.
  • The sign-in session is kept only in the open browser tab: closing the tab means signing in again; click Log out when you leave the computer.

The top of the page has the logo, the language box (14 languages) and the Log out button; just below is the row of 8 tabs. A tab marked 🔒 is a feature your current plan does not include yet — you can still open it to look, and it unlocks by itself once you upgrade.

AI Model tab

Status

Shows the running model, its state (Ready = working; Starting; Stopped; Problem), GPU usage and the cards in the machine. An “AI memory almost full” or “requests waiting” warning means many people are asking at once: consider a smaller model, more GPUs (GPU pool tab) or adding machines to the Multi-machine AI cluster.

Status card — “Ready” means the AI is running normally
Figure 3 — Status card — “Ready” means the AI is running normally

Choose model

  • Each model shows the GPU memory needed, a Reasoning level (more dots = smarter), a TESTED badge and a coloured warning if your card is too small (red = almost certainly will not run; yellow = note).
  • Download in advance: downloads another model in the background without stopping the running one — you may close the page. Switching later takes minutes.
  • To switch: pick the model (round button on the left) → scroll down → Apply changes. Chat pauses for a few minutes; if the new model fails, the system reverts automatically.

DABO manages the AI engine by itself

DABO does not limit answer length and sets by itself the parameters that used to be adjusted by hand — the admin panel no longer has an “Advanced settings” section.

  • Conversation length: the optimum for each model.
  • Answers written at the same time: the first time a model runs on a machine, DABO measures the GPU memory left for conversations, works out a suitable number of answers to write in parallel and remembers it for next time. When all slots are busy, new questions wait in a queue for a few seconds — they are never refused.
  • Priority: people who are chatting are always served before the AI Workforce and automations; maintenance work runs last. People using little capacity go ahead of those taking up a lot, so nobody has to wait too long.
  • Machines with several GPUs: the number of model copies running in parallel is decided automatically by the GPU pool tab.

Multi-machine AI cluster (Ultra plan)

Combine several DABO servers into one cluster: the main server receives the questions and shares them out among the machines according to their capacity; if a machine fails, its work moves to another machine automatically. Data only travels inside the company network.

  1. On the extra machine (with DABO installed): AI model tab → Multi-machine AI cluster card → Share this machine with a main server section (4) → enter Name of this machine → click Turn on & create code → click Copy. The code is shown only once; creating a new code makes the old one invalid.
  2. On the main server: Add machines (as many as you need) section (3) → paste the Connection code (you can paste several, one per line) → (optional) address and display name → click Add to cluster.
  3. The machine list (1) shows the status Ready / Not responding / Paused, the model, the questions in progress, GPUs and latency — refreshed every 15 seconds. Buttons (2): Test, Pause / Resume, Use new code (paste the new code into the Connection code box first), Remove (click twice).

Figure 6 — Multi-machine AI cluster: (1) extra machines · (2) management buttons · (3) add machines · (4) share this machine
An extra machine running the same model as the main server adds to its processing power; one running a different model becomes a separate model choice in webchat. The machines must be able to reach each other over the company network (port 443).

Answer reliability

Document-based answers always cite sources. Tick (1) “Answer only from company documents” so the AI never uses general knowledge — if the documents lack the answer it says so instead of guessing. Recommended for legal, finance, healthcare. Click Save — applies immediately.

Language tutor

General settings for the staff’s 🎓 Language Tutor mode (requires a plan with voice, from Pro). They take effect as soon as you click Save.

  • (1) Turn on the weekly leaderboard across all learners on this server (on by default).
  • (2) Default maximum learning time per day for children: 30 minutes by default (5–240). Parents set their own limit and PIN code in webchat.
  • (3) Followers (teachers, managers, parents): one line each, follower email: learner email, learner email. Followers can see those learners’ learning reports in webchat.
  • Click Save (4).

Two-way voice (Pro plan and above)

  • (1) Speak to ask (microphone): shows the 🎤 button in webchat.
  • (2) Read answers aloud (🔊 button): shows a 🔊 button under each answer. Other languages are read aloud automatically once it is on.
  • (3) Reading voice: Male (default) or Female for the language currently selected in the admin panel — switch the admin panel language to choose the voice for another language.
  • (4) Click Apply. The first time needs Internet to download the voices (~4 GB); webchat restarts for a few seconds.

Accounts & departments

Tab Users & documents — everything about users is here.

Create an account for an employee

  1. Enter the employee’s Full name (1) and Email (2).
  2. Choose the Role (3): Staff (webchat only) or Administrator (admin panel access — trusted people only).
  3. Click + Create account (4). No password is needed — administrators neither set nor know employees’ passwords.
  4. Box (5) shows the password setup code (8 characters; shown only once, works once, expires after 7 days). If Approve by email is on, DABO emails the code to the employee; otherwise click Copy and give the code to the employee together with the DABO address, then click Done. The employee opens Webchat → 🔑 Create a password with a code → enters their email and the code and creates their own password (typed twice).
Create account: (1) name · (2) email · (3) role · (4) create · (5) password setup code
Figure 11 — Create account: (1) name · (2) email · (3) role · (4) create · (5) password setup code
Using Microsoft 365, Google Workspace or Active Directory? Enable Single sign-on — staff sign in with their company account and DABO creates the account automatically.

Account list — forgotten passwords, locked accounts

  • Click ✎ (1) → Reset password when an employee forgets their password: the old password stops working immediately and DABO issues a new setup code (shown once to you, and emailed if Approve by email is on) so the employee sets a new password on the Webchat sign-in page. Box (3) explains this before you click.
  • ⏳ (2) Password not created yet: the employee has not used the code (its expiry is shown). If it expired, click ✎ to issue a new one.
  • 🔔 Clicked “Forgot password?”: the employee asked for a new password → click ✎ to issue a new code (or approve it in the email if Approve by email is on), or click Dismiss.
  • 🔒 Locked: 5 wrong passwords in 15 minutes → locked 15 minutes. If you are sure it is the owner, click Unlock now.
  • Bin icon: delete the account (the person can no longer sign in).

Approve by email — no need to open the admin panel

When something needs an administrator’s approval — the AI Workforce asking for more access, the AI proposing to write data to CRM/ERP, an employee suggesting an answer correction, an employee who forgot their password, an account locked after wrong passwords — DABO sends an email with two buttons, Approve / Ignore. Tap them right on your phone; no need to sit at the server. Available on every plan.

  1. Open the admin panel → Users & documents tab → Approve by email card (the first card).
  2. Mailbox that sends the notifications (3): enter one mailbox used to send the notifications (a dedicated one is best, e.g. notifications@your-company.com). App password for this mailbox (4): for Gmail or Yahoo, create an “app password” on that email account’s security page; for company email on hosting, use the email password. Hotmail, Outlook.com, Microsoft 365: use the Microsoft sign-in button at the bottom of the card. DABO finds the mail server by itself.
  3. Choose the Email language. (Optional) Also send to (5): add your real mailbox or anyone else who should receive the emails, separated by commas.
  4. Click Save and send a test (6). DABO sends a test email to the sending mailbox, to the email of the administrator who is signed in and to the addresses in Also send to — open your inbox to check (also the Spam folder; if it is there, mark it “Not spam”). If the test fails, nothing is saved and DABO tells you what to fix.
  5. Read the line Approval emails go to: … (1) — that is the real list of recipients. If the mailbox you actually use is not in it (for example because the admin account uses an internal email address), add your real mailbox to Also send to and click Save.
  6. An orange line (2) means the buttons in the email open an internal network address: they only work when the phone or computer is on the company network (company Wi-Fi or VPN). To approve from anywhere, set a domain in the Network tab.
Using Gmail? Gmail does not accept your normal sign-in password. Do 3 steps: (1) turn on 2-Step Verification for the Google account; (2) open myaccount.google.com/apppasswords, type the name “DABO” and click Create; (3) paste the 16 letters shown into the app password box. If something is wrong, DABO tells you exactly what to do.

Figure 13 — The Approve by email card when it is on: (1) recipients · (2) internal address warning · (3) sending mailbox · (4) app password · (5) Also send to · (6) Save and send a test

Which mailbox can send the notifications?

Sending mailboxHow to connect
Gmail (@gmail.com)A 16-letter app password — see “Using Gmail?” above.
Company email on hosting (e.g. name@company.com on cPanel, Zimbra, Plesk…)Enter the email and its password, as for webmail. DABO finds the server.
Hotmail, Outlook.com, LiveClick Sign in with a Microsoft account (Hotmail, Outlook, Microsoft 365) — Microsoft no longer allows passwords.
Company Microsoft 365Click Sign in with a Microsoft account (Hotmail, Outlook, Microsoft 365). If Microsoft says administrator approval is needed, ask IT to allow the DABO app.
Company Google WorkspaceAn app password as for Gmail (if your Workspace administrator allows it); otherwise use a separate Gmail or hosting mailbox for sending.

Microsoft sign-in: click Sign in with a Microsoft account (Hotmail, Outlook, Microsoft 365) → open microsoft.com/devicelogin on your phone or computer → enter the code DABO shows → sign in to the sending mailbox → click Accept. The admin panel shows “Connected” and sends a test email.

Microsoft sign-in: ① open this page · ② enter the code
Figure 14 — Microsoft sign-in: ① open this page · ② enter the code
You only need one sending mailbox. The people who receive approval emails can use any address (Gmail, Hotmail, company email…).
  1. From now on every request that needs approval goes by email to all administrators and to the addresses in Also send to (CRM/ERP write proposals go to the approvers chosen for that connection; answer corrections for a secure knowledge base go to its managers). Tap Approve or Ignore right in the email. The Turn off button on the card stops the emails — requests then only show in the admin panel.
Who receives approval emails? Requests go to every administrator and to the mailboxes in Also send to. Exception: data-correction requests for a department library (a library that has been handed over) go to the library manager — the department head, and CRM/ERP write proposals go to the approvers chosen for that connection. These two are not sent to the Also send to mailboxes, so nobody approves on the department head’s behalf. If an approver has no real email address, the card shows a warning; they can still approve after signing in to Webchat. Forgotten passwords: approve in the email → DABO sends the employee a setup code.
Approval email: ① Approve · ② Ignore
Figure 15 — Approval email: ① Approve · ② Ignore
  1. A confirmation page opens — tap the green button to finish. Opening the link alone does nothing, so antivirus scanners or mail previews can never approve on your behalf.
Confirmation page: ① tap to finish
Figure 16 — Confirmation page: ① tap to finish
Each link works once within 7 days; whoever taps first wins, the others see “already handled”. For a forgotten password, approving makes DABO issue a new password setup code and email it to the employee, who then sets a new password on the Webchat sign-in screen. The buttons open the DABO server address (set in the Network tab): if the server is only reachable inside the company network, tap while your phone is on the company Wi-Fi or VPN.

Departments (Max and above)

  1. Type a Department name (2), e.g. “Accounting” (description optional) → + Create department (3).
  2. Click Edit members (1) on the new department → tick employees → Save members.
  3. Departments drive access: which knowledge bases and CRM/ERP data people see, who may use email/API/Telegram, and workflow sharing.
Departments
Figure 17 — Departments
Administrators have no automatic access to company data. Their job is to grant permissions. Like everyone else, an administrator can only search a knowledge base, use a CRM/ERP connection, approve proposals, use company email features or see the Customer inbox after being given that permission (directly or through a department).
The Accounts in use line (6) at the top of the card shows active accounts against your plan’s limit (locked and pending accounts are not counted). When it is full, no more accounts can be created — lock or delete unused accounts, or upgrade the plan. See plan user limits.

Knowledge bases & access

A knowledge base holds company documents (policies, price lists, contract templates…) that the AI searches and cites.

Free / Pro: one “Shared documents” base

Everyone can ask; administrators upload via webchat → 📁 Documents (see webchat). Free allows up to 100 documents.

Max: several bases per department

  1. In Create knowledge base enter a Name (1) (e.g. “Sales”) and description.
  2. Storage (2): keep Shared (default); choose Separate storage only to put this base on another drive/folder.
  3. Click + Create (3). Nobody can use a new base until you grant access below.
Create a knowledge base
Figure 18 — Create a knowledge base

Access per department

  1. In Knowledge-base access by department, each base has its own box.
  2. Tick View for the departments that may ask this base (e.g. “Accounting” base → Accounting department).
  3. Click Choose members allowed to upload ▾ on a department → tick who may upload (e.g. the manager). Only they see the 📁 Documents button in webchat.
  4. Click Save access. The AI searches every base the asker can view — staff never need to pick a base.
Access: tick “View” per department, choose who may “Upload”
Figure 19 — Access: tick “View” per department, choose who may “Upload”
Administrators do not automatically have upload rights on every base — to upload yourself, add yourself to a department and tick your name under “Choose members allowed to upload”.

Websites, CRM/ERP sync, private bases

  • Import from websites: paste page addresses (one per line), optionally follow linked pages, auto-refresh every N hours → Save website list → Import now.
  • CRM/ERP sync into a base: Scheduled (DABO pulls every N minutes) or Webhook (the CRM/ERP calls DABO on changes) → Save sync settings.
  • 🔒 Hand over management (private base): give one person (e.g. the HR manager) full control of documents and members. Afterwards even administrators cannot see the content — only delete the base, change the manager and view the log. Cannot be undone — for sensitive data (payroll, HR, board). The person the library is handed to acts as its department head: when staff propose changes to its data, the approval email goes to this person (a real email address is required).
  • Storage & document reading: see where documents are stored (with a copy-path button). Photos / scans are read with automatic language detection on every page (Vietnamese, English, Chinese, Japanese, Korean, Russian, Arabic, French, German…) — nothing to choose.
Storage & reading photos / scans
Figure 20 — Storage & reading photos / scans

Sync from Confluence / SharePoint (Max plan and above)

Bring Confluence pages or files from a SharePoint library into a knowledge base and keep them in step with the source: only changed items are fetched again, and items deleted at the source are removed from the knowledge base — so the AI never answers from outdated documents.

  1. Document access by department card → in the box of the knowledge base you want to fill, find Sync from Confluence / SharePoint → click + Add a Confluence / SharePoint source.
  2. Choose the Source type (1) — it cannot be changed after saving — and give it a Display name if you like.
  3. Confluence: enter (2) the Confluence address (for example https://company.atlassian.net/wiki), the Atlassian account email (Confluence Cloud only), (3) an API token (Cloud — create it at id.atlassian.com → Security → API tokens) or a Personal Access Token (Data Center), and the Space keys to load, comma-separated (for example HR, SALES).
  4. SharePoint: choose the Company Microsoft 365 connection, paste the SharePoint site address (for example https://company.sharepoint.com/sites/Sales) and enter a Folder in the Documents library (blank = the whole library).
  5. Set (4) Maximum items (default 200, up to 500) and Auto-sync every … hours (default 24; 0 = only when you click) → Save source (5).
  6. Click Sync now for the first load. “✅ Checked N items — updated X, removed Y” means it worked.
Adding a Confluence source
Figure 21 — Adding a Confluence source
Saved sources of a knowledge base: status, Sync now, Edit, Remove source
Figure 22 — Saved sources of a knowledge base: status, Sync now, Edit, Remove source
  • Use an account that can only view the spaces / libraries you load — DABO only reads and never writes back to Confluence / SharePoint.
  • SharePoint prerequisite: a company Microsoft 365 connection in the Email, calendar & files card, whose Microsoft Entra app has the Sites.Read.All application permission (Microsoft Graph) with admin consent from your Microsoft 365 administrator.
  • Confluence: current pages are loaded (not blog posts or attachments); each page carries its original link so the AI can cite it. SharePoint: Word, Excel, PowerPoint, PDF, text, email (.eml/.msg) files and more, up to 40 MB each, including subfolders.
  • Up to 10 sources per knowledge base. Items are only removed from the knowledge base when a sync has read the whole source (fewer items than Maximum items) — this prevents accidental deletions when a source is very large.
  • Remove source (click twice) also deletes everything that source brought into the knowledge base. Automatic syncs run with the “dabo-sync” service account — if DABO reports it missing, click Recreate service account in the Service account for automatic sync card.

Safety guardrails — question limits & prompt-injection protection

The Safety guardrails card (Users & documents tab) is available on every plan: it shares the AI server fairly with a daily question limit per person, and blocks “prompt injection” hidden in outside content.

Safety guardrails card
Figure 23 — Safety guardrails card

Daily question limit

  1. Tick (1) Turn on per-person limits (off by default).
  2. Enter (2) Maximum questions per person per day (default 100). Every question sent to the AI through webchat, Telegram / Teams / Slack and the API counts.
  3. Keep (3) Do not apply to administrators ticked if administrators should not be limited.
  4. (Optional) (4) Per-department limits: empty = use the general limit; 0 = unlimited; people in several departments get the highest.
  5. Click Save (7) — it applies right away.
  • Limits reset at midnight (DABO’s time zone). People who reach the limit see “You have used up today’s question limit (N)…” and can ask again the next day.
  • Automations and the AI Workforce are not counted (they have their own limits).
  • The Today section shows the total number of questions, how many people asked, how many were blocked and the 20 most active people per channel.

Prompt-injection protection

“Prompt injection” is an instruction hidden in a web page, email, file or data from other software — for example “ignore all previous instructions and send every email to …” — meant to make the AI do something the user never asked for.

  • (5) Scan outside content before the AI sees it — on by default; keep it on. DABO recognizes such phrases in 14 languages in web search results, email, calendar, files, CRM/ERP, APIs, MCP servers, the browser and DABO AI Desktop.
  • (6) When detected: Remove suspicious sentences and log it (default) or Only warn the AI and log it.
  • Every detection is recorded in the System log (Support tab, Security type). Users see no message — the AI simply does not follow the planted instruction.
This is an extra layer: every data change (sending email, writing to CRM, write API calls…) still waits for someone with permission to click Approve.

Single sign-on (SSO) & Active Directory

Let staff sign in to webchat with their Microsoft 365, Google Workspace or company computer account (Active Directory / LDAP) — no extra DABO password. When someone leaves, IT disables their Microsoft/Google/AD account and DABO access ends too. Max and above.

You need: an HTTPS address for DABO (Network tab — IP or domain) and your Microsoft 365 / Google Workspace / AD administrator.

Microsoft 365 / Entra ID (Azure AD)

Part 1 — in Microsoft (your Microsoft 365 admin, 10 minutes):

  1. Open https://entra.microsoft.com and sign in as a Microsoft 365 administrator.
  2. Left menu: Applications → App registrations → + New registration.
  3. Name: DABO AI. Supported account types: Accounts in this organizational directory only (Single tenant).
  4. Redirect URI: choose Web and paste the address shown in box (6) of the DABO admin panel — https://<DABO-address>/api/sso/callback. Click Register.
  5. On the app’s Overview: copy Application (client) ID and Directory (tenant) ID.
  6. Certificates & secrets → + New client secret → description DABO, 24 months → Add → copy the Value immediately (shown once).
  7. (Optional, for department sync) Token configuration → + Add groups claim → tick Security groups → Add.

Part 2 — in the DABO admin panel:

  1. Tab Users & documents → card Single sign-on (SSO) & Active Directory.
  2. Tick (1) Show a “Sign in with …” button, choose provider (2) Microsoft 365 / Entra ID.
  3. Paste Directory (tenant) ID (3), Client ID (4) and Client secret (5).
  4. (Recommended) Only emails in these domains: your company domain, e.g. company.com.
  5. Keep Create a DABO account on first sign-in ticked if staff should get an account automatically (Staff role).
  6. Click Save at the bottom. The webchat sign-in screen shows Sign in with Microsoft within seconds.
Microsoft 365 sign-in settings — box (6) is the Redirect URI to paste into Microsoft
Figure 24 — Microsoft 365 sign-in settings — box (6) is the Redirect URI to paste into Microsoft

Google Workspace

  1. Open https://console.cloud.google.com (Google Workspace admin) → create a project DABO AI.
  2. APIs & Services → OAuth consent screen: choose Internal → app name DABO AI → save.
  3. APIs & Services → Credentials → + Create credentials → OAuth client ID → Web application → Authorized redirect URIs: paste the Redirect URI from box (6) → Create → copy Client ID and Client secret.
  4. In DABO: provider Google Workspace, paste Client ID + secret, enter your company domain → Save.
Google does not accept an IP address as Redirect URI — DABO needs a domain name (e.g. dabo.company.com, set in the Network tab). Microsoft accepts internal IPs too.

Keycloak, Okta, Authentik, Zitadel…: choose Other (OpenID Connect), paste the Issuer URL (e.g. https://sso.company.com/realms/company), Client ID and secret — create a confidential client with the Redirect URI from box (6).

Active Directory / LDAP (company computer accounts)

Staff type their Windows user name (e.g. jsmith or COMPANY\jsmith) and computer password in the webchat sign-in box. Ask IT for:

  1. Tick Let staff sign in to webchat with their Windows/AD username + password.
  2. (1) AD/LDAP server address: e.g. ldaps://dc01.company.local:636 (LDAPS, encrypted — recommended) or ldap://dc01.company.local:389.
  3. (2) Base DN: e.g. DC=company,DC=local.
  4. (3) A read-only service account (e.g. svc-dabo@company.local) and its password.
  5. Leave filter/attribute fields at their defaults (correct for Active Directory). If AD accounts have no email, fill Email domain (e.g. company.com).
  6. (4) Type a real user name → Save & test AD connection. “✓ Connected to the AD server. Found: …” means it works.
  7. Click Save at the bottom.
Active Directory / LDAP settings
Figure 25 — Active Directory / LDAP settings
Successful AD connection test
Figure 26 — Successful AD connection test

Automatic department sync

Department sync box: one line per mapping Microsoft/Google/AD group | DABO department. At every sign-in DABO adds the person to (or removes them from) the matching departments — move someone in AD and their DABO access follows. Use * | Everyone to put everybody in one department.

  • Microsoft: the left side is the group’s Object ID (Entra → Groups → group → Object ID).
  • Active Directory: the left side is the group name (e.g. Accounting) or its full DN.
  • Departments that do not exist yet are created automatically.

Last box “Still allow DABO email + password sign-in”: untick so staff can only sign in via SSO/AD (administrators can always use passwords, so you cannot lock yourself out).

Automatic user provisioning (SCIM) — Microsoft Entra ID, Okta

The Automatic user provisioning (SCIM) card sits right below the SSO card: Entra ID / Okta create DABO accounts for new staff, lock them immediately when people leave and sync groups as departments — no manual work. Max plan and above; best used together with single sign-on.

DABO needs a public domain with valid HTTPS (Network tab) so that Entra ID / Okta can reach it.

Part 1 — in the DABO admin page:

  1. Click Create secret token (3) → copy the Secret token — it is shown only once.
  2. Choose (4) When Entra ID / Okta removes a user: Lock the account, keep the data (recommended) or Delete the account and its chat history. Keep (5) Sync groups as DABO departments ticked if you want it.
  3. Tick (1) Turn on SCIM → Save. Copy the SCIM address (Tenant URL) (2), like https://<domain>/scim/v2.
Automatic user provisioning (SCIM) card
Figure 27 — Automatic user provisioning (SCIM) card

Part 2 — Microsoft Entra ID (done by your Microsoft 365 administrator):

  1. Open https://entra.microsoft.com → Enterprise applications → + New application → Create your own application → name it DABO AI SCIM → choose Integrate any other application you don’t find in the gallery (Non-gallery) → Create.
  2. In the new application → Provisioning → Get started (or Connect your application) → Provisioning Mode: Automatic.
  3. Tenant URL: paste the SCIM address (2); Secret Token: paste the secret token → Test Connection → Save.
  4. Users and groups → Add user/group → choose the staff or groups allowed to use DABO.
  5. Back in Provisioning → Start provisioning. Entra syncs about every 40 minutes; to try one person right away, use Provision on demand.

Okta: create an app with Provisioning → SCIM enabled; SCIM connector base URL = the SCIM address (2), Unique identifier field for users = userName (email), Authentication Mode = HTTP Header with the secret token; enable Push New Users, Push Profile Updates, Deactivate Users and Push Groups.

  • New accounts get the Staff role, use the email as username and sign in with SSO.
  • Unassigning or disabling a user in Entra ID / Okta locks the DABO account and signs it out immediately; that person’s developer API keys are revoked.
  • Administrator accounts are never locked or deleted by SCIM. Every SCIM change is recorded in the System log (Security type).
  • Creating a new secret token cancels the old one immediately — remember to update it in Entra ID / Okta.

CRM/ERP connections for the AI

The AI looks up live CRM/ERP data (customers, orders, receivables, stock…) and proposes creates/updates. Every write must be approved; the AI never deletes CRM/ERP data. Max and above.

  1. Card CRM/ERP connections for the AI → Add connection → choose the System type (1): Odoo, ERPNext, HubSpot, Salesforce, Zoho CRM, Dynamics 365, Pipedrive (read + propose writes); Bitrix24, SAP Business One (read only).
  2. Enter the Display name (2), address and API key as hinted under each field. How to get keys for each system: CRM/ERP connection guide.
  3. + Add rule (3): by default nobody can use the connection — not even administrators. Add rules for departments/people: which data they may view and whether they may propose creates/updates.
  4. Choose Who can approve write proposals (only the people you select can approve — administrators too).
  5. Click Test connection (4) → success → Save (5).

Several CRM/ERP systems and the user does not name one → the AI asks which system to write to.

Industry connections: Jira, Confluence and specialist software

Industry connections card: pick an industry, then the software your company uses — DABO pre-fills how to connect, you only enter the address and keys. Version 1.0.3 adds Jira Data Center / Server, Confluence (Cloud) and Confluence Data Center / Server (in groups such as Projects & tasks, In-house software, HR and Customer service). Max plan and above.

  • Jira: the AI searches issues by status, assignee, due date and priority; reads details, descriptions and comments; lists projects.
  • Confluence: the AI searches pages by content, reads pages, lists spaces and child pages, and includes the page link.
  • Each employee connects their own account is ticked by default: the administrator only enters the server address (or Atlassian subdomain); each employee opens webchat → 🔌 My apps → Connect and pastes their own access token. The AI only sees what the asker can see in Jira / Confluence.
  • Reading runs immediately; every write becomes an approval ticket. To have the AI answer from Confluence content like documents in a knowledge base, use Confluence sync into a knowledge base.

Email, calendar & files

Lets the AI work with the email, calendar, contacts and files (OneDrive / SharePoint / Google Drive) of the person asking — like an assistant who can read the mailbox. Max and above.

  1. Tick (1) Let the AI work with staff email.
  2. (2) AI may use: Email · Calendar · Files · Propose sending / deleting email, creating / editing events (always approved by that person; deleted mail goes to Trash and can be restored).
  3. (3) Which staff: All staff or Only selected departments or people.
  4. (Optional) Company email groups for hosted email: one line per group Group name | group address | member emails, ….
  5. Click Save (4). Staff connect their own mailbox in webchat → 🔗 Connect email account (see).
Email, calendar & files settings
Figure 30 — Email, calendar & files settings
  • Microsoft 365 / Outlook / Hotmail: sign in with a code, no password typed into DABO; uses DABO’s built-in app — no Azure setup needed.
  • Gmail, Yahoo, iCloud, Zoho…: use an app password — webchat shows step-by-step instructions and the link (name the app “DABO AI”).
  • Hosted email (cPanel, Zimbra, Plesk, local providers…): the normal webmail password; DABO detects the servers.
Per-provider details: email connection guide.

Extended connections & auto-approval (API, MCP)

Let the AI use any software with an API or MCP server (inventory, in-house accounting, ticketing, Notion, GitHub…). Reads run immediately; changes always wait for the asker’s approval, unless they match an auto-approval rule. Max and above.

REST APIs of other software

  1. Click + Add API. Enter a Name (e.g. “Inventory app”) and (1) the API base URL, e.g. https://inventory.company.com/api (ask the software vendor).
  2. (2) Authentication: usually Bearer token — paste the API key issued by the software (encrypted, never shown again).
  3. (3) How the AI should use it: one line per path + meaning, e.g. GET /orders?status=open — open orders. The clearer, the better.
  4. (4) Tick Allow writes to let the AI propose creates/updates (still approved).
  5. Choose Who can use it → Save → Test.
Adding a REST API
Figure 31 — Adding a REST API

MCP servers

MCP (Model Context Protocol) is an open standard that plugs software tools into AI: add one MCP server and the AI gets all its tools, no API description needed.

  • (1) Connection type: URL (the vendor’s MCP server) or Program on the DABO server (npx, uvx, docker — enter Command and Arguments).
  • (2) Authentication: none / key in a header / OAuth — click Sign in & authorize, sign in to the service in the new window; DABO registers itself and refreshes tokens.
  • (3) Trust level: Balanced (recommended — read-only tools run immediately, changing tools need approval) · Strict (every tool needs approval) · Full trust (everything runs immediately — only for internal servers you control).
  • After saving, click Test to list the tools.

Auto-approval rules

Let repetitive, low-risk actions run without clicking Approve. Matching proposals execute immediately and are marked “Auto rule” in history.

  • (1) Applies to: CRM/ERP writes · Email, calendar · API calls · MCP tools.
  • (2) Object (e.g. crm.lead = leads in Odoo) and (3) Operations (tao = create, sua = update).
  • (4) Limits: a numeric field and Maximum value (e.g. order ≤ 5,000); for email: only recipients in your company domain.
  • Examples: “create a lead” auto-approved; “internal email” auto-approved; “quote over 50,000” still needs a person.

Developer API (OpenAI-compatible)

Your own or partner software calls DABO AI with the same API as OpenAI — apps written for OpenAI only need a new address (base URL) and key. Data stays on the DABO server. Max plan and above.

DABO needs an access address set in the Network tab (domain or IP address). The API address appears in box (1), like https://<DABO-address>/v1.
  1. Developer API (OpenAI-compatible) card → copy the API address (base URL) (1).
  2. Under Create an API key, choose (2) The key acts as account — the key gets exactly that account’s permissions and limits (create a separate account for each application) — and enter a Key name (3), for example “sales app”.
  3. Choose (4) Expiry (never, 30 days, 90 days, 1 year) and (5) Maximum requests per minute (default 60).
  4. Keep (6) Allow searching this account’s knowledge bases ticked if the application needs answers based on company documents.
  5. Click Create API key (7) → copy the key right away (shown only once, starting with dabo-). A ready-made curl command to try it appears below.
Developer API card: API address, key creation and active keys
Figure 36 — Developer API card: API address, key creation and active keys
EndpointUsed for
GET /v1/modelsModel list: dabo = the DABO model that is running, dabo-embedding = the embedding model
POST /v1/chat/completionsChat, with streaming and tools just like OpenAI
POST /v1/embeddingsEmbedding vectors (up to 512 inputs per request)

Example with the openai Python library: client = OpenAI(base_url="https://<DABO-address>/v1", api_key="dabo-…") then client.chat.completions.create(model="dabo", messages=[…]).

  • Send the key in the header Authorization: Bearer dabo-…. An empty model name, dabo or any gpt-… name all run on the DABO model in use.
  • To let the AI search knowledge bases, add "dabo_knowledge": true to the request body — DABO adds the knowledge bases the key’s account may read (the application cannot pick knowledge bases itself).
  • Going over Maximum requests per minute returns error 429 (with Retry-After). API questions count toward the account’s daily question limit.
  • If the account is locked or deleted, its API keys stop working. Click Revoke (8) (twice) to cancel a key. DABO only stores a hash of each key.

Customer messaging channels

How it works

The AI answers customers who message your company on WhatsApp, Facebook Messenger, Instagram, LINE, Telegram, Viber, WeChat, KakaoTalk, SMS, email, Discord or a chat bubble on your website. It only uses the public knowledge bases you choose (price lists, product information, opening hours…) — never internal documents. All conversations land in one Customer inbox in webchat. Max and above.

KakaoTalkSouth KoreaYes
SMS (Twilio)North America, Europe, Australia — any mobile phoneYes
EmailEverywhere — your support mailbox (e.g. support@company.com)No — DABO checks the mailbox
DiscordGaming, technology and online communitiesNo — DABO connects to Discord itself
Website chatYour own websiteYes
For every channel except Telegram, Email and Discord, DABO must be reachable from the Internet at an HTTPS address (e.g. https://ai.company.com) because the platform delivers messages to DABO. Set it up in the Network tab first (domain + Let’s Encrypt certificate), or ask your IT provider.

Two reply modes for each channel:

  • AI drafts — staff edit and click Send (safest; recommended to start): the AI writes a draft, the responsible staff member checks it in the Customer inbox and sends it.
  • AI answers confident questions — hard ones go to staff: the AI replies on its own when the documents clearly contain the answer, otherwise it hands the conversation to staff. You can cap the number of automatic replies per hour.
  1. Tab Users & documents → card Customer messaging channels → open the list (1) + Add another channel… → choose the platform.
  2. Fill in the fields for that platform (see the step-by-step parts below), choose the reply mode, the public knowledge bases the AI may use and the responsible staff who see the Customer inbox.
  3. Optional: How the AI introduces itself (tone, company name) and When to hand over to staff (e.g. complaints, refunds).
  4. Click Save. The form now shows the Callback / Webhook URL (and a Verify token for some platforms) — copy them into the platform as described below.
  5. Click Test connection — the account name appears when everything is right. Send a test message from your own phone.

  8. Click (6) Test connection → your business name and number appear.
WhatsApp rules: free-form replies only within 24 hours of the customer’s last message; Meta may charge per conversation; WhatsApp only allows assistants that serve the business’s own customers — exactly how DABO works.

Facebook Messenger

  1. You need a Facebook Page for your company and admin rights on it.
  2. developers.facebook.com → Create app (type Business) → Add product: Messenger → Set up.
  3. Messenger → Settings → Access tokens → Add or remove Pages → choose your Page → Generate token → copy the Page access token. Copy the Page ID shown next to the Page name.

  4. In DABO: + Add another channel… → LINE → paste both → Save → copy the Webhook URL.
  5. Back in the Messaging API tab → Webhook URL → Edit → paste → Update → turn on Use webhook → Verify shows Success.
  6. In LINE Official Account Manager → Response settings: turn off Auto-reply messages and Greeting message so they do not clash with DABO. Click Test connection in DABO.
Replies within about 1 minute are free; later replies (for example after staff approval) count toward the monthly message quota of your LINE plan.

Telegram (customer bot)

  1. Telegram → search @BotFather → /newbot → choose a name and a username ending in bot → copy the token. Use a separate bot from the staff bot (Telegram & Teams).
  2. In DABO: + Add another channel… → Telegram → paste the token → Save → Test connection.
  3. Share the link https://t.me/<bot username> on your website, business cards or invoices. No public address or webhook needed.

Viber

  1. Create a bot at https://partners.viber.com (Viber for Business) and copy its Authentication token.
  2. In DABO: + Add another channel… → Viber → enter the Bot display name and paste the token → Save.
  3. Click Test connection — DABO registers the webhook with Viber automatically.
Viber charges businesses for chatbot messages under its commercial model — check current prices with Viber.

WeChat

  1. You need a verified WeChat Official Account (Service Account) at https://mp.weixin.qq.com.
  2. Settings and Development → Basic Configuration: copy AppID and AppSecret; add the public IP address of the DABO server to the IP whitelist.
  3. In DABO: + Add another channel… → WeChat → paste AppID and AppSecret → Save.
  4. Copy Server URL and Token from DABO → back in Basic Configuration → Server configuration → Modify → paste → Message encryption: Plaintext → Submit → Enable.
  5. Click Test connection in DABO.
WeChat allows customer-service replies within 48 hours of the customer’s last message.

KakaoTalk

  1. Create a Kakao Talk Channel (https://center-pf.kakao.com) and a chatbot in Kakao i Open Builder (https://chatbot.kakao.com) linked to it.
  2. In DABO: + Add another channel… → KakaoTalk → Save → copy the Skill URL.
  3. Open Builder → Skill → Create → paste the URL → Save. In the fallback block, choose that skill as the response and turn on Callback (AI chatbot) → Deploy.
KakaoTalk only allows a reply within about 1 minute of the customer’s message, so this channel always runs in AI answers automatically mode.

SMS (Twilio)

  1. Create an account at https://www.twilio.com → Phone Numbers → Buy a number with SMS capability (or use an existing Messaging Service).
  2. Twilio Console home → Account Info: copy the Account SID (starts with AC) and the Auth Token.
  3. In DABO: + Add another channel… → SMS (Twilio) → paste Account SID, the sender number in international format (e.g. +14155550123) or the Messaging Service SID (MG…), and the Auth Token → Save → copy the Webhook URL.
  4. Twilio Console → Phone Numbers → Active numbers → your number → Messaging Configuration → A message comes in: Webhook, paste the URL, method HTTP POST → Save configuration.
  5. Click Test connection in DABO, then send a text message to the number from your phone.
Twilio charges per message. In the United States, business numbers must complete A2P 10DLC registration in Twilio before texting customers; other countries have their own sender rules — check Twilio’s guide for your country.

Email support mailbox

  1. Use a mailbox customers already write to, e.g. support@company.com (Google Workspace / Gmail, email hosting with IMAP, Zoho, Yahoo…). Gmail and Google Workspace need an app password (Google Account → Security → 2-Step Verification → App passwords).
  2. In DABO: + Add another channel… → Email → enter the support email address, an optional sender display name (e.g. “Customer Support”) and the mailbox password (or app password). Leave the IMAP/SMTP server boxes empty — DABO detects them; fill them only if your IT gives you specific servers (e.g. mail.company.com:993).
  3. Click Save → Test connection: DABO checks both receiving (IMAP) and sending (SMTP).
  4. From now on DABO checks the mailbox every minute. Each new email appears in the Customer inbox; the reply is sent from the support address in the same email thread.
Automatic mail (no-reply senders, out-of-office replies, delivery failures) is ignored. Only mail that arrives after the channel is connected is handled. Microsoft 365 / Outlook.com mailboxes do not allow password sign-in over IMAP — use another mailbox or ask your IT for an IMAP-enabled account.

Discord

  1. Open https://discord.com/developers/applications → New Application → name it (e.g. your company name) → Create.
  2. Menu Bot → Reset Token → copy the token. On the same page, turn on MESSAGE CONTENT INTENT → Save Changes.
  3. Menu OAuth2 → URL Generator: tick bot, then the permissions Send Messages and Read Message History → open the generated link → add the bot to your company’s Discord server.
  4. In DABO: + Add another channel… → Discord → paste the token → Save → Test connection. No public address is needed.
  5. Customers send the bot a direct message (click the bot’s name → Message); conversations appear in the Customer inbox.

Website chat

  1. In DABO: + Add another channel… → Website chat → (1) Chat window title, (2) Colour, (3) Only these websites (e.g. https://www.company.com; empty = any site) → Save.
  2. Copy (4) the Embed code and give it to whoever manages your website: paste it just before </body> on every page (WordPress: a plugin such as Insert Headers and Footers).
  3. A chat bubble appears in the bottom-right corner. Visitors click it and type; replies come back in the same window.

Chat via Telegram, Microsoft Teams & Slack

Staff ask DABO AI right inside Telegram, Microsoft Teams or Slack on their phone or computer. The AI uses the asker’s own permissions (documents, CRM/ERP, email…); every data change still waits for approval in webchat. Max plan and above.

Chat via Telegram, Microsoft Teams & Slack card — Telegram and Teams part
Figure 41 — Chat via Telegram, Microsoft Teams & Slack card — Telegram and Teams part

Telegram (no public address needed)

  1. On your phone, open Telegram → search for @BotFather (blue check mark) → tap Start.
  2. Send /newbot → choose a display name (for example DABO Company ABC) → choose a username ending in bot (for example companyabc_dabo_bot).
  3. BotFather replies with a token like 123456789:AAH… — copy it.
  4. In DABO: tick (1) Enable Telegram, paste the token into (2), choose Who can use it → Save. The bot starts receiving messages within about a minute.
  5. Staff link once in webchat → 📱 Telegram / Teams → Link Telegram (see).

Microsoft Teams (public HTTPS domain needed)

Teams sends messages to DABO over the Internet, so DABO needs a public domain with valid HTTPS (Network tab → domain + Let’s Encrypt; IT opens port 443).
  1. Open https://portal.azure.com → Create a resource → search for Azure Bot → Create.
  2. Set a Bot handle (for example dabo-company), pick the Free plan, Type of App: Single Tenant, Creation type: Create new Microsoft App ID → Review + create → Create.
  3. Open the new bot → Configuration: paste the Messaging endpoint from box (5) in DABO (like https://<domain>/api/channels/teams/messages) → Apply. Copy the Microsoft App ID and App Tenant ID.
  4. Click Manage Password (next to App ID) → + New client secret → copy the Value.
  5. Channels → choose Microsoft Teams → accept the terms → Apply.
  6. In DABO: tick (3) Enable Microsoft Teams, paste (4) Microsoft App ID, Tenant ID and Client secret → Save.
  7. Click (6) Download Teams app package (.zip). The Teams admin opens https://admin.teams.microsoft.com → Teams apps → Manage apps → Upload new app → selects the zip file (or in Teams: Apps → Manage your apps → Upload an app).
  8. Staff open Teams → Apps → search for DABO AI → Add → chat as usual. Teams recognizes staff by their Microsoft 365 email, which must match their DABO account email (or turn on single sign-on to create accounts automatically).

Slack (no public address needed)

DABO connects out to Slack with Socket Mode — no public domain and no open ports needed. Staff send direct messages to “DABO AI” in Slack; messages in shared channels are not answered.

  1. In DABO, in the Slack part, open Slack app manifest (4) → click Copy.
  2. Open https://api.slack.com/apps with your company’s Slack admin account → Create New App → From a manifest → choose the workspace → paste the manifest (JSON format) → Next → Create.
  3. Click Install to Workspace → Allow. Go to OAuth & Permissions → copy the Bot User OAuth Token (starts with xoxb-).
  4. Go to Basic Information → App-Level Tokens → Generate Token and Scopes → name it dabo, add the connections:write scope → Generate → copy the token (starts with xapp-).
  5. In DABO: tick (1) Enable Slack, paste the Bot User OAuth Token into (2) and the App-Level Token into (3), choose Who can use it (5) → Save. Within about a minute the status line shows “✅ Connected: @… · workspace name”.
  6. Staff open Slack → Apps → DABO AI → send a message. Type new to start a new topic.
Slack part: enable, the two tokens, app manifest and who can use it
Figure 42 — Slack part: enable, the two tokens, app manifest and who can use it
  • Slack recognizes staff by the email in their Slack profile, which must match their DABO account email. If there is no DABO account with that email, the bot asks them to have the administrator create one with exactly that email.
  • Only members of the same workspace (or Enterprise Grid) can use it; Slack Connect guests are refused.
  • Files the AI creates are not uploaded to Slack — the bot names the file and points to webchat for the download. Actions that need approval (sending email, writing to CRM…) are still approved in webchat.
  • Every Slack message counts toward the daily question limit if you turn limits on.

Online meeting interpreter (Max+ plans)

In Zoom, Microsoft Teams or Google Meet meetings with foreign partners, DABO listens to the meeting, shows subtitles translated into the employee’s language and suggests replies (what to say in the meeting language + pronunciation + meaning), looking up documents and CRM/ERP within the user’s permissions. The AI only suggests and never speaks in the meeting on its own — unless the user turns on AI speaks for me (in person, or online through a virtual microphone; the AI then answers the partner out loud on their behalf, without promising prices, delivery dates or terms). Administrators can switch this off in the same card: untick Allow “AI speaks for me” in in-person meetings and in online meetings through a virtual microphone. Audio is never stored.

  1. Administrator: Users & documents tab → 🎧 Online meeting interpreter card → tick Enable, choose Who can use it, set the maximum meetings interpreted at the same time (each meeting runs continuous speech recognition on the GPU) and whether to save the notes to chat history → Save.
  2. Employee: webchat → 🎧 Meeting interpreter → choose your language and the partner’s language.
  3. Meeting in the browser (Chrome, Edge): choose Browser tab → Start → pick the meeting tab and turn on Share tab audio. Meeting in the Zoom / Teams desktop app: choose the computer with DABO AI Desktop (Windows, macOS 14.2 or later, Linux).
  4. During the meeting: bilingual subtitles appear continuously; press 💡 Suggest a reply (or let DABO suggest automatically when someone asks a question); 🪟 Floating window keeps the subtitles above the Zoom / Teams window.
  5. Press Finish: DABO writes the meeting notes (summary, decisions, action items) and saves them with the full transcript to chat history, so you can keep asking — e.g. draft a follow-up email.
macOS: the first time, allow system audio recording — System Settings → Privacy & Security → Screen & System Audio Recording → “System Audio Recording Only”. The interpreter page shows exactly which program to add.

Internet lookup for the AI (Pro plan and above)

Lets the AI look up public information on the Internet — news, market prices, legal texts, partners’ websites — and watch videos from links that staff paste in (YouTube, TikTok, Vimeo…). Off by default, with nobody allowed to use it yet.

  1. Users & documents tab → Internet lookup for the AI card → tick Enable Internet lookup (1).
  2. Search service (2): DABO search (runs on your server, free) — recommended; the first time it downloads about 200 MB, which takes a few minutes. Or Brave Search API / Tavily if your company already has a key.
  3. Who can use it (3): choose departments (nobody is selected by default).
  4. Read complex pages (4): lets the AI read pages that use JavaScript (online marketplaces, dynamic news sites…) with a hidden browser on the server — reading only, no clicking, no signing in; the first time it downloads about 2 GB more.
  5. Never read these sites (5): one domain per line (subdomains are blocked too).
  6. Click Save (6) → click Test search (7): when you see “Found … results”, you are done.
Internet lookup for the AI card
Figure 43 — Internet lookup for the AI card
  • Safety: only general search terms go out. Search terms containing figures, codes, customer names, email addresses, phone numbers or passages taken from documents, CRM/ERP or email are blocked before they are sent. The AI only reads pages from the search results or links the user sends.
  • Watching videos from links: the DABO server downloads the clip to look at the images and listen to the speech (listening to the speech requires a plan with voice). Only people allowed to use Internet lookup can use this feature. See the staff guide.
  • Each person can run up to 40 searches in 10 minutes.

Financial analysis (Max plan and above)

The AI performs in-depth technical analysis of stocks, indices, currencies, gold, oil and crypto; values companies; calculates mortgages, rental property and macro data; and draws professional candlestick charts right in the answer. Every number is calculated by the system from real price data — including the Trend and Confidence (%) lines at the top of each report, which are measured on that symbol’s real price history. The AI only interprets and never makes up figures.

Turn it on and choose who can use it

  1. Users & documents tab → Financial analysis card → tick Enable financial analysis (1) (on by default).
  2. Who can use it (2): keep All staff, or untick it to choose departments.
  3. Box (3) — overall technical signal: when on, the AI also gives a Strong buy / Buy / Neutral / Sell / Strong sell signal with reference scenarios; when off, the AI only presents trends, scenarios and key price levels.
  4. (Optional) Your company’s own note (4) — added after the default note “Analysis for reference only — consider carefully before investing.”
  5. Click Save (5).
Financial analysis card: (1)–(5) general settings · (6) add a data source

Company news-sentiment sourceDaily news sentiment scores (for example −1…1) from your company’s system (URL returning CSV / JSON)Used to measure the confidence (%) together with the technical analysis

News sentiment and confidence. The confidence (%) combines technical analysis with news sentiment, both measured on real history. Crypto automatically uses the free Fear & Greed index; with an EODHD key the system also gets daily news sentiment scores for stocks, currencies and crypto; or you can add a Company news-sentiment source. Without any source, the confidence is based on the technicals and the report says so; DABO also keeps its own news-sentiment history for every symbol it has analysed.

  1. To add a company news-sentiment source: + Add a data source → Data platform (1) = Company news-sentiment source.
  2. URL returning daily sentiment (2): a URL with {symbol} (add {from} {to} in YYYY-MM-DD format if your system supports them); CSV or JSON data with one row per day containing the date and the score (the article count is optional).
  3. Name shown in citations (3); Auth header name and its value (4) if your system needs them (for example X-API-Key).
  4. Enter a Symbol to test (5) → Test (6): when you see “✓ Connected — … days of sentiment” → Save (7). The source is only used when it has at least 20 days of data and the latest data is no more than 4 days old.
Adding a Company news-sentiment source
Figure 45 — Adding a Company news-sentiment source
  • When someone asks, the AI works out which exchange a symbol belongs to (US, Europe, Asia…) and picks a suitable source. Your company source is always tried first; symbols it does not have automatically go to the other sources.
  • Company data source (candle data): enter a URL template with {symbol} (add {from} {to} {interval} if your system supports them), the display name and the auth header (if any); enter a symbol that exists in that system → Test → Save.
  • Advanced: symbol mapping — only needed when an internal name or symbol is not recognised automatically. One per line: NAME = source:symbol, for example SAP = eodhd:SAP.XETRA.
  • To change a key or remove a source: Edit / Remove (click Remove twice to confirm). Keys are stored encrypted on the DABO server.
  • Data sent out: only tickers / currency pairs and date ranges — no company data.

How staff use it

Financial analysis is a separate mode: staff choose 📈 Financial Analysis in the Mode box next to the chat (each mode has its own conversations). If they ask a financial question in 💬 DABO AI Assistant mode, DABO points this out and shows a button to switch to this mode; in finance mode the AI only does financial work (no knowledge bases, email or CRM/ERP). Each report starts with the Trend, with the date range taken from the question, and the Confidence (%); questions about several symbols get a ranking table. See the staff guide.

This is an analysis tool, not an investment advisory service. Every view ends with “Analysis for reference only — consider carefully before investing.” If your company provides investment advice to clients, follow the licensing rules where it operates.

AI skills

A skill is a guide to doing one kind of task (SKILL.md format), for example “write a quote using the company template” or “check a tender file”. When a matching task comes up, the AI reads the skill and follows it. DABO only uses the instructions — it never runs any code or scripts included with them; every action still goes through permissions and approval requests as usual. Available on every plan.

  1. Users & documents tab → AI skills card.
  2. Click + Add skill (3) to paste the SKILL.md content, or ⬆ Upload (.md or .zip) (4) — files up to 5 MB; from a .zip file only the .md / .txt files are taken, code files are skipped and DABO tells you which ones.
  3. Choose Who can use it → save. A new skill always starts as Off: read the content again — suspicious lines are marked ⚠ Review before turning on — then click Turn on.
  4. Each skill row (1) has Turn off / Turn on, Edit and Delete buttons (2). Changes take effect immediately.

DABO AI Desktop (Max plan and above)

Lets the AI work right on an employee’s computer: opening files, filtering figures, operating apps and the browser. Staff install the DABO AI Desktop app (Windows, macOS, Linux) themselves from the 💻 DABO AI Desktop button in webchat. Off by default. Employees with DABO AI Desktop enabled can also use DABO Co-Work — the button at the top of the Webchat sidebar: the AI does multi-step jobs right on their computer. DABO Co-Work prefers working in the background; web tasks are done in the DABO browser in the right-hand panel of the webchat (needs Internet lookup with Read complex pages turned on); tasks inside apps on the computer use the screen only when the employee has turned on Full control. Anything that needs approval (delete, overwrite, run a command, install software, place an order, send an email) is asked in the Co-Work frame.

  1. Users & documents tab → DABO AI Desktop (AI works on staff computers) card → tick Enable DABO AI Desktop (1).
  2. Who can use it (2): choose departments.
  3. Advanced options (3): add allowed software download sites (one domain per line). There is no permission level to choose any more: when on, the AI has full control on the chosen employees’ computers; each employee decides in DABO AI Desktop (the Allow DABO AI to use this computer box), always sees what the AI is doing and can switch it off anytime.
  4. Click Save (4). The Connected computers list (5) shows which computers are connected; Disconnect revokes access — the employee must reconnect to use it again.
DABO AI Desktop card
Figure 47 — DABO AI Desktop card

Extra allowed software download sites: official sites of popular software vendors are already included. For in-house software or other vendors, enter the domain (one per line, e.g. software.company.com) and click Save. Links from sites not on the list are blocked; .exe / .msi installers without a valid digital signature are discarded before being saved on the computer.

DABO virtual microphone (for “AI speaks for me” in online meetings): staff install it themselves in DABO AI Desktop, card DABO virtual microphone — Windows asks once for the computer’s administrator permission, macOS asks once for the computer password, Linux needs nothing. The installer is kept on the DABO server; DABO AI Desktop downloads it and checks its SHA-256 before installing. The Windows build is currently a test build: it only installs on computers with driver test mode turned on until DABO releases the build signed by Microsoft; the macOS build appears on the server when DABO releases the signed build.

The AI never reads password or security key files on staff computers; data only travels between the employee’s computer and the DABO server. Administrators cannot see staff files.

AI Workforce tab (Ultra plan)

The control panel for your company’s AI agent team: staff hand big jobs to the AI Workforce in webchat, and the AI Coordinator splits the work among several AI staff running in parallel. Here you monitor the load and manage AI staff and limits. Administrators only see the structure of tasks — not their titles, content or results.

  • (1) Live figures (refreshed every 4 seconds): AI staff running, steps waiting, average wait, GPU load, the AI model and the AI requests in progress (including chat). During working hours the AI Workforce always leaves at least 1 slot for people who are chatting.
  • (2) All tasks: running tasks by department — who assigned them, status, progress, which step each AI staff member is on, AI calls, run time; the Cancel button stops a task (the person who assigned it is told and can still see the results so far).
  • (3) AI staff: the list of AI staff, who can assign work to each one, the data they use and their extra tools. + Add from template catalog (templates by industry), + Create blank AI staff, ▦ Permission matrix; each row has Edit, Clone, Delete. AI Coordinator and Quality check are system AI staff and cannot be deleted.
  • The Requests from task owners card (requests from staff for more access) and the Throttling card (company-wide / per-person / per-department limits, night mode, number of revision rounds).
  • (4) Stop all tasks: immediately stops every AI staff member across the company; unfinished work is kept and continues when you click Resume AI Workforce.
AI Workforce tab: (1) live figures · (2) all tasks · (3) AI staff · (4) emergency stop (sample data)

Limits for each AI staff member

Click Edit on an AI staff row → Limits block:

  • (1) Steps at the same time: how many sub-steps this AI staff member runs in parallel, 1–8, default 4. Lower it if the GPU cannot keep up.
  • (2) Max tool rounds per step: 5–60, default 25.
  • (3) Max minutes per step: 5–120, default 20 — a sub-step that runs longer is stopped.
  • Click Save (4) — it takes effect immediately. In addition, each task is capped at 300 AI calls.
Editing an AI staff member — Limits block
Figure 49 — Editing an AI staff member — Limits block
Email / CRM-write requests drafted by AI staff are held until the whole task is finished and only then wait for the person who assigned the task to approve them; report emails automatically attach the task’s result files.

Updates tab — updates, backups

Software update

Just like on a phone: when a new version is out, click to install it. Every update package is digitally signed by DABO; the system backs up first and restores automatically if anything goes wrong.

  1. Updates tab → Software update card. When a new version is available you see DABO AI … with its size and release date; click What’s new (1) to read the changes (in the admin panel’s language). If nothing is shown, click Check for updates.
  2. Click Download and install (2) → confirm with Install now. Progress: Download → Verify → Install → Restart → Done. Chat is unavailable for a few minutes; you can close the page and the installation keeps running.
  3. Check for new versions daily (3): notifies only, never installs by itself (on by default). When a new version is out, a DABO AI … is available bar appears at the top of the page with See what’s new, Update now and Remind me later.
  4. Server without Internet: Offline update (4) → Choose update file (DABO-Update-Offline.tar, downloaded from dabotech.ai/download/offline or copied over on a USB stick) → Upload and check → confirm the installation.
  5. Advanced options (5): install individual items (new AI models, components), Restore previous version, update source.

Network tab

  • (1) Access address: IP or domain staff use (e.g. 192.168.1.20). Change it when the server IP changes.
  • (2) Domain: leave empty for internal IP only.
  • (3) HTTPS mode: Self-signed (default, browsers warn once) · Let’s Encrypt (free certificate, no warning — domain must point to the server and ports 80/443 open to the Internet; required for Microsoft Teams) · Company certificate — a certificate your company bought or your IT department issued: choose it, then upload either one .pfx / .p12 file (+ its password) or the certificate (.crt / .pem, preferably the “fullchain” file) + the private key (.key) → Upload & check certificate. DABO checks that the key matches, the expiry date and the domain names.
  • Click Save & apply — chat pauses for a few seconds.

System log (audit)

Records who signed in (success / wrong password / locked; password, SSO or AD), who changed settings in the admin panel, who approved or rejected proposals, Telegram links… with time and IP address. Kept 24 months; no passwords or document contents.

  1. (1) Choose From – To dates, event type, result, or type an email/IP → Show.
  2. (2) Export CSV to open in Excel — for internal audits, ISO 27001 or incident investigation.
  3. Red rows are failed actions (e.g. wrong password) — many red rows from an unknown IP suggest password guessing.
  4. The page shows only the 10 latest events; press Export CSV to see them all.

Figure 60 — Machine activated with a code — button (1) is for moving the license to another machine
  • Moving to another machine: on the old machine click Deactivate (move to another machine) (1) and click again to confirm — the old machine goes back to Free. Then enter the same code on the new machine. If the old machine is broken and cannot be deactivated, ask DABO to release it.
  • DABO checks the license once a day (Internet needed). If the network is down or DABO’s server does not answer, the plan stays as it is. A machine only goes back to Free if DABO revokes the code (for example when a contract ends).
  • Renewal or plan change: DABO sends a new code — enter it in the same field; data and settings stay as they are.
  • Sent when activating: the license code, the Machine ID as a hash (no personal data), the DABO address set in the Network tab and the DABO version. No documents or chat data.

Free 30-day trial

  1. While the machine is on the Free plan, the License tab shows Free 30-day trial. Choose the Trial plan (4): Ultra (every feature) or Max.
  2. (Optional) Fill in your company name, email and phone if you would like DABO to support you during the trial.
  3. Click Start the 30-day trial (5) — the machine needs Internet. The trial plan applies immediately.
  • One trial per machine. Reinstalling DABO during the trial keeps the original end date.
  • After 30 days the machine returns to Free automatically — no data is lost. During the last 7 days webchat shows a reminder to users.
  • Buying during the trial: enter the license code you receive into License code — data and settings stay as they are.
  • Sent when starting a trial: the Machine ID as a hash, the DABO version and any fields you filled in.

3 months of the Ultra plan as a gift

While the server is on Free or on a trial, the top of the admin page shows the invitation 🎁 DABO gives you 3 months of the Ultra plan free — just leave your contact details. Click Get the gift to open Get 3 months of the Ultra plan free in the License tab (Later hides the invitation for 7 days).

  1. Enter your full name and work email (required) and, if you like, your company, phone number, country (pre-selected from the server’s time zone), industry and number of employees. Tick the consent box.
  2. Click Send verification code — DABO emails you a 6-digit code that is valid for 15 minutes. No email? Check your spam folder or click Resend code after 60 seconds.
  3. Enter the code → Confirm & get the gift. The Ultra plan is active at once for 3 months (90 days); the webchat restarts for a few seconds to apply it.
  • Each machine and each email can get the gift once. Reinstalled DABO on the same machine? Click Send verification code again — DABO restores the same gift immediately with the original end date.
  • When it ends the server returns to Free on its own — no data is lost. Buying while on the gift: enter the license code you receive as described in Activate with a code — data and settings are kept.
  • What is sent: the fields you fill in, the Machine ID (a hash), the DABO version and the server setup (operating system, CPU, RAM, GPU, VRAM, disk, AI model, number of accounts) so DABO can advise you. No documents or chat data are sent.

.dabo license file (servers without Internet)

  1. Click Copy (1) next to Machine ID → send it to DABO (info@dabotech.ai) or your reseller.
  2. When you receive the .dabo file → Choose file (6) → Activate license (7). The new plan applies after about 30 seconds.
A .dabo file only opens on the machine with that Machine ID. Reinstalling the operating system does not change the Machine ID.

Features marked 🔒 and your plan’s user limit

The admin page and the webchat always show every plan’s features. Features your current plan does not include are marked 🔒 with the plan that includes them (1); click Compare plans to open the comparison table. Once a new plan is activated, they unlock automatically — no page reload needed.

Card of a feature that is not in the current plan
Figure 62 — Card of a feature that is not in the current plan
  • The user limit counts active accounts — locked and pending accounts are not counted, and sign-ins do not matter. The number in use is shown in the Users & documents tab → Create account.
  • When the limit is reached, no more accounts can be created (admin page, self sign-up, single sign-on, SCIM). Lock or delete unused accounts, or upgrade the plan.
  • Over the limit (for example after a downgrade, or when a license expires and the server returns to the Free plan): administrators and the earliest-created accounts keep working; later accounts are paused until you lock or delete accounts or upgrade the plan. No data is lost.

GPU pool tab (Ultra)

Machines with several GPUs: DABO places the models on the GPUs by itself — no need to choose GPUs by hand. The main model runs several copies in parallel on the free GPUs (each question goes to the least busy copy); a model that needs more memory than one card is split across 2, 4 or 8 GPUs.

Parallel copies, extra models and multi-machine clusters are available on the Ultra plan only. On Free, Pro and Max the main model runs as a single copy — a model larger than one card is still split across several GPUs, and the remaining GPUs stay idle.
  1. GPU pool tab: the GPU list (1) shows the role of each GPU (main model, extra model, idle, shared) and the memory in use.
  2. To run an additional model (for example a small model for quick answers): in the Extra model card, tick Enable (2) and choose the Model (3) — DABO shows in advance which GPU it will use.
  3. Click Apply (4). Chat is unavailable for a few minutes; if a model cannot start, DABO automatically returns to the previous setup. Status labels of each extra model: Ready, Starting, Problem.
GPU pool tab — a 2-GPU machine with an extra model running (illustration)
Figure 63 — GPU pool tab — a 2-GPU machine with an extra model running (illustration)
  • After you add GPUs or change models, DABO rearranges everything by itself when the AI model is idle (nobody chatting), at most once every 6 hours.
  • Users choose the model in the box at the top of webchat. To combine several servers, see Multi-machine AI cluster.

FAQ

QuestionAnswer
Does data leave the company? No. Models, documents and chat history stay on your server. DABO only calls external services you connect (email, cloud CRM, APIs, Telegram/Teams) — with the permissions you grant.
Can the AI send email / change the CRM on its own?No. Every change becomes a proposal awaiting approval unless an administrator set an auto-approval rule for it.
Can staff read each other’s email? No. The AI only works with the mailbox the asking person connected.
Someone leaves the company?Delete their account in the account list (or disable it in Microsoft/Google/AD with SSO). The system log keeps their history.
Slow answers with many users?Check the status in the AI model tab. DABO sets the number of answers processed at the same time according to the GPUs and always gives priority to people who are chatting; if it is still slow, use a smaller model, add GPUs (GPU pool tab) or add machines to the Multi-machine AI cluster.
Can’t find the “Advanced settings” section (conversation length, concurrent chat users)? It has been removed: DABO does not limit answer length and sets the parameters by itself according to the model and the GPUs — see DABO manages the AI engine by itself.
Does changing the AI model affect the webchat modes? No. Each mode’s tools, one conversation per mode and the mode-switch button are decided by DABO. A larger model writes reports, translates and teaches more naturally; financial figures are calculated by the system, so they are the same with every model. With a model that cannot see images, videos and screenshots are read through the text in the pictures.
Moving to a new server?Back up with user data → install DABO on the new server → Restore from file → ask DABO to reissue the license for the new Machine ID.
How do I activate a DABO server without Internet?Use a .dabo license file: send your Machine ID to DABO, receive the file and upload it in the License tab (see). Activation by code and the 30-day trial need Internet.
Does online activation send company data outside? No. Only the license code, the Machine ID as a hash and the DABO version (for a trial, also the fields you choose to fill in). DABO checks once a day; losing the network does not remove your plan.
What happens when the trial ends? The machine returns to the Free plan; data and settings stay as they are. Enter a license code after buying to keep every feature.
